Cleaning Guidelines / FAQ

Clean By Design services the greater Kalamazoo area. Most maintenance is done within 30 miles of the Kalamazoo area. However, one time cleans or seasonal deep cleans will be considered outside of our regular service area.

Scheduling: We will do our best to assist with the needs of all clients and find the best route to reduce travel time for our staff. We will make every effort possible to accommodate any requested arrival time; however, the request may not be guaranteed. Please allow time for the arrival window of 30 minutes before or after the scheduled appointment. Example: If your appointment is scheduled for 10:00 am, we may arrive between 9:30 am and 10:30 am. *If you are a weekly or bi-weekly client your schedule is locked in for the same days.

Our typical residential service hours are Monday thru Friday 8:30 a.m. thru 5:00 p.m. Commercial accounts are serviced on evenings and weekends.

The ideal cleaning situation is when no one is home. Since that may not always be the case, please try to eliminate as many distractions as possible for our technicians to remain focused and detail-oriented on the tasks at hand. We recommend that you try scheduling your service on a day when there will be fewer people at your home.

Our goal is to make your cleaning experience as seamless as possible for you and your family. We will provide our cleaning products and equipment! Prior to the scheduled cleaning service, specific requests should be communicated to our leadership team.

We provide the equipment and supplies for several reasons:

  1. So that all personnel are trained in the use of each product and piece of equipment. Knowing what we are working with allows us to provide quality results.
  2. To free you, the customer, from having to keep track of what needs to be replaced, repaired or washed.

Note: Because our technicians are not professionally trained to use your items, if you choose to have our technicians utilize your products and equipment, we will not be responsible for any damages that may occur as a result of using your product or equipment.

Generally our technicians work independently; however, depending on the scope of work, we may need to assign a team of two or more technicians. Our goal is to keep the same team members arriving at your home, but this is not guaranteed for every visit.
Accidents happen! We will do our best in preventing it. Please make sure to move any expensive, fragile, or precious possessions to a safe place that will not be cleaned. Our team requires that you notify us of any items that are precious as we prefer to avoid them entirely and cannot guarantee replacement. You will be notified immediately of any incidents that occur while we are in the home. Should you find something after we have left, please report it to us immediately, photograph and save the broken/damaged item(s) for inspection.
Yes, we are fully insured for your protection and peace of mind. We can provide proof of insurance at the time of each estimate. Our certificates are also available directly from our insurance company upon request.

Please do not clean before our technicians’ arrival. Leave it to us! If you can tidy up as much as possible we would appreciate it. We can focus on the cleaning and details of your home. Should we encounter an area that is more than 50% cluttered we may need to work around the items to ensure we complete the job in sufficient time.

Payment is expected on date of service. We will accept check or invoice you to pay by card.

Payments: Effective January 1, 2023, we are requesting cards to be placed on file. Cards on file will allow us to process prompt payment within 24 hours of your completed cleaning. You will have the opportunity to change your card on file at any time; however, we will need notice before the day of service for billing purposes.

We do accept checks at the date of service, please provide the office with instructions on retrieving the payment. Mailed checks need to be received in advance. We do not accept cash as payment.

We do our best to work safely and recommend that children are not in the areas where our technicians are cleaning. There may be equipment and products that are not safe for them to be around.

We love your pets; however, we ask that you secure any pets while we clean. We do not want to cause your pet to get anxious, stressed, or feel threatened.

Note: Please know that we do not clean up after sick pets or clean up any pet accidents.

You will have a customized experience with Clean by Design. It’s not uncommon for our clients to have their whole home cleaned on a bi-weekly basis then have us come for a partial cleaning such as bathrooms and kitchen on the opposite weeks. Tell us your needs and we will come up with a plan that works for you!

When hiring a cleaning person / company you are inviting someone into your home that is one of the biggest investments you will ever make. You are inviting someone into the lives of you and your family. Often these people are working in the home with your family members present. We recommend that you hire only persons or companies that have taken the time to consider you and your needs and offered to have a hand in protecting you in case of accident or loss.

Anyone can gather some cleansers and a vacuum and call themselves a cleaner… However, only a professional will be able to provide you with proof of their insurance. Also, we recommend that you work only with those who take the time to learn and study the proper cleaning techniques for today’s modern surfaces. Many surfaces can be damaged by improper cleaning techniques and products.

Most unlicensed persons charge less. Persons who work “under the table” do so without thought of long term and lasting repercussions to both themselves and their customers. They charge less because they are not paying into the system (taxes, medical, workman’s comp, insurance, social security, etc.) When something goes wrong, these workers will often disappear without a trace. However, you can be assured that many will be among the first to collect aid from our tax dollars. Please keep our economy strong and work with professionals!
